Getting started with Zeltri
Zeltri is an operational automation platform for care homes. It turns emails and documents into structured workflows—tasks, approvals, reconciliations, evidence and reporting—so teams spend less time chasing and more time delivering care. It’s built for owners/operators, registered managers, finance/admin teams, and support teams.
Zeltri connects the silos: pulls signals from emails and your systems into one operational workflow (tasks, approvals, exceptions, evidence, reporting). Ara + Search lets staff ask questions in plain English and get answers from authorised connected data, without jumping across tools and inboxes.
Some modules can also replace point solutions (when you’re ready): enquiry→admission→discharge, HR onboarding/staff records, and AI-assisted capture can run in parallel until you’re confident, or replace standalone tools where the ROI stacks up.
No — Zeltri orchestrates workflows alongside your existing systems. It captures information from emails and documents, routes approvals and tasks, and prepares finance and reporting outputs—without replacing your core care or accounting software.
Trial, onboarding and support
The full Zeltri suite is enabled (subject to qualification and onboarding). To set up the trial, we’ll request access to key sources such as email inboxes, and relevant operational details (e.g., resident fee information and basic resident records where required). Zeltri will auto-populate much of the compliance and operational data from connected sources, but your team will need to review and confirm key items. If you use an accounting platform integration, we can connect it (e.g., if using Xero, Xero may charge a minimal API cost).
Setup typically takes 2–4 hours (depending on sites, inboxes and integrations). After setup, Zeltri needs 2–4 days to process and sync data so the care home can start consuming dashboards and records.
No additional cost for setup. Training is included: 2 hours to train up to 3 staff (train-the-trainer).
Support is provided via email. Response times will be confirmed in your proposal / support terms.
Pricing, billing and contracts
Pricing is per care home, based on modules selected, number of sites, and onboarding needs. We’ll confirm a clear proposal after a short demo.
After the 3-month full-suite trial.
We bill monthly in advance. Payment is by invoice. Direct Debit is available and required for discounted rates. (No card payments.)
No — there’s no minimum term, but cancellation is subject to the agreed notice period
Standard terms include a 3-month notice period. We’ll share the full contract and proposal after the demo/trial confirmation.
Yes — pricing may increase in line with hosting costs and inflation. We’ll always communicate changes in advance.
Modules and future roadmap
Yes. If you’re on selected modules, you can add/remove individual modules as your needs change (we’ll confirm the change process in your proposal).
Core enhancements are included. New modules (e.g., HR) are included if you’re on the all-in bundle. If you’re on selected modules, you can add new modules as an optional add-on at published pricing. Early access customers will receive advance notice and preferential onboarding.
Yes — multi-site/group pricing will be available from Q2 2026.
Integrations
We’re integrated with Xero. We’re also open to working with care providers to integrate other systems at no cost to them, subject to technical feasibility, security requirements, and prioritisation.
Yes — shared mailboxes are supported.
Email and document ingestion still works, and we can add integrations as they become available (subject to feasibility and prioritisation).
How it works
Zeltri ingests LA remittance files and matches them against your sales invoices and expected income. It auto-reconciles what it can, then flags exceptions such as short pays, backdated adjustments, and missing lines—with clear ownership so discrepancies are resolved quickly and the income position is always clear.
Zeltri uses role-based access (RBAC). Users only see the data and actions they’re authorised to access (e.g., managers vs finance vs support teams), and key actions are logged with an audit trail. Zia is permissioned too—answers are only generated from data the user is allowed to see.
Data, privacy and security
No. Zeltri is a multi-tenant platform (similar to Microsoft 365). Your care home’s data is segregated within your tenant, and access is controlled by your administrator. Zeltri platform administrators only have access to your care home admin username for account provisioning/support — not passwords, and not your operational or care data.
Your data is stored within your care home’s tenant and is restricted to authorised users in your organisation. Data does not pass between tenants and is not shared with other care providers. We only use approved sub-processors (e.g., hosting and security providers) to operate the service, under contract and confidentiality. When Zia generates answers, it uses an AI model to process your authorised data at the time of the request. Your content isn’t used to train public models, and Zia only returns answers from information the user is permitted to access.
Yes — we can provide a data export on request. The scope and format will be agreed as part of offboarding, subject to verification and reasonable notice.
Your data will be deleted in line with UK GDPR requirements and our retention policy.
We are working towards SOC 2 certification and are building our controls and processes accordingly.
Admin and access management
Up to 20 users and 12 inboxes are included (additional capacity can be added if needed).
Your care home admin controls user access and permissions. If your admin leaves, a new admin can be added and permissions reassigned.
Yes. You can cancel at the end of the 3-month trial. If you cancel, you can continue using Zia + Search for 9 months after the trial ends. Trials are limited to one per care home.
